Arrange for Facilities

   
 

There are several considerations when you plan for the facilities (Care for the Caregiver Manual, 1992, p.19):

  • convenient, safe location
  • pleasant, comfortable room
  • support staff who can provide room set-up
  • availability of audio-visual support such as flip chart, overhead projector, VCR
  • ample and convenient parking

As well, you will require a table (3 x 5 ) for the display of Community Resource Literature, and facilities to provide light refreshments for Nutrition Break.

Take time to attend to details such as seating arrangements and the arrangements for the nutrition break. For example, if you are using a coffee percolator, set everything up before the session so that coffee is ready on time. It is recommended that tables and chairs be set up in a U-shape or a circle to promote interaction. Your attention to the detail of surroundings and comfort show the participants that you recognize the value of their time and energy. For many of them, it is a major task to arrange to come to the workshop.

Identify a contact person at the facility where you will be holding the workshops and check with that person on a regular basis. The arrangements you set up should be confirmed by letter (see Appendix 3). A written agreement with the facility co-ordinator is also recommended. You should make a telephone call to your contact person on the day before each workshop to confirm that all arrangements are in place (set-up, AV equipment, Nutrition Break). Sometimes, unexpected changes can occur!
