(Electronic Personal Information Form)
Submission Process
at the IRB
The IRB is in the process of replacing its existing case
management systems (STAR and ATS) with the new Integrated Case Management
System (ICMS). ICMS will improve the way cases are processed from start
to finish.
As part of this new system, authorized representatives*
will be able to submit their clients' Personal Information Forms (PIFs) to
the Board using a secure electronic process. Users will download an electronic
version of the PIF, fill it out, edit or amend it as required, digitally
sign it and then submit it electronically to the IRB. Users
will also be provided with a confirmation of receipt for their records.
In May 2005, a bilingual pilot project was launched in Montreal
to test the application. A group of approximately 20 individuals were
trained on how to use the application, and received authorization to submit
their
clients PIFs to
the IRB electronically
using the ePIF process.
The IRB's
National Call Centre will be available to provide technical support to
all authorized users should they experience problems with the application.
Once the pilot project has been fully evaluated and the
application is validated, the ePIF module will be made available to all
authorized representatives across the country this summer. Further information,
training and technical support will be provided to all authorized representatives
who wish to take advantage of the online release of the ePIF at that time.

*Any person who, for a fee, represents, advises or consults
with a person who is the subject of a proceeding before the IRB must
be an "authorized representative". An "authorized representative" is
defined as a member in good standing of either a bar of a province, the
Chambre des notaires du Québec
or the Canadian Society of Immigration Consultants.
