The Publication Process

The Geological Survey of Canada communicates the results of its research as expeditiously and effectively as possible to the public. Survey authors, therefore, should only consider a project complete when the results have been published and not when their manuscripts have been submitted for editing.

The results of research done at the GSC are released either in GSC publications or in outside journals. GSC publications will not be available in two series at one time. For example, an open file map cannot be upgraded to an A-series map without major revisions and must got through another review process. At the time of release of the A-series map covering the same area, the open file would be removed from circulation. The publication process described here deals with GSC publications, their routing procedures, the steps involved, and the responsibilities of authors.

The first step in the publication process is the acceptance of a manuscript by a division and submission of a Formal Publication Permission-to-Publish Form (PUB 3010; go to Forms page to view sample) through the ESSPPI system (accessible to ESS employees only) following agreement between author(s) and critical reviewers, who must complete the Critical Reviewer's Appraisal Form (PUB 3012; go to Forms page to view sample) through the ESSPPI system (accessible to ESS employees only).

The manuscript, modified in accordance with the critical reviewers' comments, is submitted to the Managing Editor in both digital and double-spaced hard-copy (paper) format, along with all figures, photos, tables, and pocket items.



Triage

Triage is a new step in the publication process whereby manuscripts are checked by a Scientific Editor and by the Digital Design section to ensure all material is present and in a workable form. The Scientific Editor checks that the component parts are in the package, and if necessary, suggests changes to the format, and distribution timing and style. The Digital Design section checks the figure format and ensures that digital versions are usable. A listing is made of missing elements, and if necessary, it is returned to the author to work on and return to the Editorial and Digital Design sections. The package is officially accepted only when it is complete.



Editing and layout

The edited manuscript is sent to the author to address queries and review. In most cases, after editing, the revised manuscript is sent to the Digital Design section where production officers are responsible for co-ordinating the cartographic work, final layout of the text, and liaising with the printer. The production officers prepare the final copy or page proofs, which are returned to authors for proofreading (typographical errors, mislabelling of figures, omissions of text, etc.)

Note that changes to the text cannot be allowed at the final layout stage as they may involve the recompilation of the entire report. Major changes and additions to a manuscript must be made when the report is being edited and before the report is submitted to Digital Design section. The corrected page proofs from the author is returned to the scientific editor for final approval on author's changes before printing.
