10. In an Envelope

10.1  Location of the Destination Address  

Place the destination address on the front of all envelopes (side without the envelope flap) and follow these conditions according to the size of the item.

10.1.1  Oversize  

Location

Place the address, with a skew or not more than 5 degrees, either:

Vertical to the longest side of the mail piece and in the bottom 80% of the item

Or

Parallel to the longest side of the mail piece and in the bottom 75% of the item.


Quiet Zones

Leave the following areas around the address block free of printing:

10 mm on the left, right and below the address
6 mm above the top line.


Non-address Areas

Ensure the following areas are free of address information:
the postage or indicia area, 74 mm wide by 40 mm high, in the upper right corner
a border of 10 mm around the bottom 80 or 75% of the item; depending on the address orientation – vertical or horizontal
a space, 35 mm high by 150 mm wide, in
the bottom left corner on items with a vertically-oriented address
the bottom right corner on items with a horizontally-oriented address.


10.1.2  Short and Long  

Location

Place the address and postal code:

Parallel to the length of the item, with a maximum skew of five degrees.
On the side of the envelope without the closing flap
Within the Address Zone:
40 mm from the top
19 mm from the bottom
15 mm in from the left and right sides.


Quiet Zones

Leave the following areas around the address block free of printing:

13 mm on the left side
6 mm above the top line
all the area to the right of the address block
all the area below the address block


Non-address Areas

Ensure the following areas are free of address information:

1.the postage or indicia area, 74 mm wide by 40 mm high, in the upper right corner
2.the area for the bar code, 19 mm high along the bottom of the item
3.a border of at 15 mm on each side.


10.1.3  Windows and Labels  

Leave the same quiet zones around an address that is on a label or showing through a window. These zones can be be any one of the following: 1. partly inside, 2. entirely outside, or 3. entirely inside the window or label.

Ensure that no matter in which position the insert may have moved:


the complete address is visible; and


the quiet zones are maintained.


10.2  Return Address  

Requirement

The Canadian address to which the Canadian addresses for undeliverable publications are to be returned is part of the detailed identifying information.


Orientation

Place the address for return of undeliverable address blocks so that it has the same orientation as the destination address.


Location

Locate the return address preferably on the front of the item, but it can also be on the back.


Front - Oversize

Locate the return address in the upper left corner ensuring that it is:

clearly separated from the destination address
outside of the postage zone.


If the destination address is located Then the return address is located in:
Parallel to the longest edge of the item The top 25% of the total height of the item.
Vertical to the longest edge of the item. The top 20% of the total length of the item.


Front – Short and Long

Locate the return address in the upper left corner within an area that:
extends from the left edge to within 100 mm of the right edge

And

is within 40 mm from the top edge.
If the item is paid by postage meter, locate the return address in the same place as described above or in the meter impression.

Back - Short and Long/ Oversize

Locate the return address:

Near the top edge
Centred between the left and right edges.


Oversize

If the return address is on the same label as the destination address:

Place the return address above the destination address and in the top left corner of the label.
Place the return address in the same direction as the destination address.
Use a print for the destination address that is of equal or better quality than that used in the return address.
Limit the risk of the return address being mistaken for the destination address by using a different colour, such as yellow or red, or printing in italics or script.


10.3  Advertising  

Oversize

Place advertising anywhere on the envelope, except:

The area for the indicia, 74  mm by 40 mm, in the upper right corner
The address and a border of 10 mm on both sides and the bottom, and 6 mm on the top.
The area for the bar coding – 35 mm by 150 mm.
Note:If the area for the bar code has printing or is a dark colour, Canada Post will apply a label and print the bar code on it.

Short and Long

Place advertising anywhere above and to the left of the address as long as it is not in the following quiet zones around the address:

6 mm above the top line
13 mm on the left side.


10.4  Enclosures  

If an enclosure is Then
Oversize
more than 1.5 mm thick
 And
more than 25 mm shorter or narrower than the envelope
secure it to an enclosure that is not more than 25 mm shorter and narrower than its envelope.
Short and Long
more than 1 mm thick it must be no more than 15 mm shorter or narrower than its envelope


10.5  Construction  

10.5.1  Sealing  

Securely seal all envelopes.


10.5.2  Seams  

Ensure seam adhesive is completely retained within the width of the seam and does not extend beyond the edge of the seam.
The portion of the seam that does not have any adhesive will not extend more than:

Category From the bottom fold From right or left edge
Oversize 19 mm 25 mm
OR vice versa
Short and Long 13 mm 19 mm
OR vice versa


10.5.3  Flaps  

Location

Locate the flap on the back (side without the destination address) of the item.


Adhesive

The portion of the envelope flap that does not have adhesive will not extend more than:

Category From the bottom fold From right or left edge
Short and Long 13 mm 19 mm
OR vice versa
Oversize 19 mm 25 mm
OR vice versa


Split gumming

Split gumming on Short and Long items

There should be gum at the top of pointed flaps.
Gum covers 60% of the fold line.
Maximum width of untreated splits is 19 mm.


10.5.4  Windows  

Requirements

Ensure all windows are covered.

Use windows that:

Are rectangular
Are large enough to show all the destination address
Do not show other print (text or graphics) to the right or below the address in the window


Characteristics

Cover all address windows with material that has:

sufficient transparency to allow a transmission with a maximum haze of 75%
uniform clarity
no wrinkles, creases or blemishes
a gloss reading on the side facing out of 159 gloss units or less.


10.5.4.1  Auxiliary Windows  

Placement

Ensure that windows on the front and back of the item are not on top of each other so that one cannot see through the envelope.

Oversize

Use no more than two auxiliary windows, in addition to the main address window.
Locate only one of these auxiliary windows on either side of the item (i.e. one on the front and one on the back) and anywhere on the item except in the areas for the indicia and the bar code.
Show address information only in the window on the front and not in the window on the back of the item.


Short and Long

Use only one auxiliary window, in addition to the destination address window.
This window may be either:

Front:

At least 45 mm from the bottom edge.
Outside the Address Zone and the reserved areas.

Or

Back:

Not less than 30 mm from the top and bottom edges.
15 mm from the left and right edges.


10.5.5  Cover Characteristics  

Application

The following requirements, except for opacity, apply to outer covering paper, labels, inserts visible through windows and transparent wrappings.

The opacity requirement applies only to the paper used in outer coverings.

Haze
Requirement A maximum reading of 75%
Minimum
Requirement –
Compliance in
these areas
On oversize items, the address and 10 mm around it.
On short and long items, the address and 13 mm around it
Ink Absorbency
Requirement A reading of not more than 60%.
Minimum
Requirement –
Compliance in
these areas
On short and long items:
•  19 mm along the bottom front
•  15 mm high x 140 mm wide on the bottom back.
This requirement does not apply to oversize items.
Note: Gloss/matte papers usually don’t meet this requirement because their coating prevents the bar code ink used in processing to be absorbed.
Luminescence
Requirement A UV content level of less than 1% or a lower luminescence than either “Century Premium Opaque Cover” or “Mayfair Cover Antique Britewhite” when compared under a UV light.
Opacity
Requirement An opacity of 80% or greater on outer coverings.
Minimum
Requirement –
Compliance in
these areas
On oversize items, the address and 10 mm around it.
On short and long items:
•  the address and 13 mm around it
•  74 mm wide by 40 mm high in the upper right corner
•  140 mm wide by 15 mm high on the back
•  19 mm along the bottom front.
Smoothness
Requirement A measurement of between 55 and 380 Sheffield Smoothness Units.
Note: Avoid using paper with raised or projected areas for item covers and wrappings.
Reflectance
Requirement A reflectance between 45 and 95%, so that both people and machines can easily read addresses and bar codes.
Minimum
Requirement –
Compliance in
these areas
On oversize items, the address and 10 mm around it.
On short and long items:
•  the address and 13 mm around it
•  74 mm wide by 40 mm high in the upper right corner
•  140 mm wide by 15 mm high on the back
•  19 mm along the bottom front.
