Background

As a result of the success of the Magnetic Media Filing Program, more than 80 percent of slips filed with information returns are now received on magnetic media.

The Magnetic Media system is an efficient process and provides opportunities to expand the variety of electronic services.

What is XML?

XML is the international standard being used by tax authorities as the format for transfers of information return data.

This record format improves the quality of the data filed, and makes it easier for our clients, and the Agency to make programming changes mandated by new legislation. The XML format uses open and closed tags to hold the reported data. The following example shows the current filing format.

Example: Last name Smith
Format is <snm>Smith</snm>
- required 20 alphanumeric
- first 20 letters of the employee's last name
- omit titles such as Mr., Mrs., etc.
- do not include first name or initials

To validate your file you can download the XML schema from our web site and use it to check that the format of your information return is correct before you send it to the Agency. The schema is used with your parser to validate your file. Your parser should be a validating parser that checks for the proper file format. You should verify that the validating feature in your parser is turned on before checking your file.

Acceptable Media:

The following media is acceptable for filing on Magnetic Media: Diskettes, CD-ROMs, and DVD-ROMs.

Note: We no longer accept the media options of "tape and cartridge".

Important Information:

If you file a combined total of more than 500 slips, you are required to file your return(s) on magnetic media. We provide computer specifications for magnetic media filing.

Everyone submitting on magnetic media must have a transmitter number. If you do not have one or do not know your number, phone 1-800-665-5164.
