SUBJECT: Alberta Health Care

PURPOSE

1.1 The purpose of this directive is to advise you of a new policy regarding the submission of documentation to Alberta Health Care.

BACKGROUND

2.1 Departments currently attach necessary Alberta Health Care documentation to input submitted to the pay office when requesting the deduction to be started, stopped, or amended. Once the requested action is processed, this documentation is then forwarded by the pay office to Alberta Health Care.

2.2 Alberta Health Care policy regarding the effective date of certain changes processed (e.g. additions, deletions) is based on the date they receive the request in their office. Therefore, in order to avoid any delays, Alberta Health Care requested that departments forward a photocopy of the documents to them, at the same time as submitting the originals to the pay office. However, since it appears that this request is not always complied with, it has been decided to revise this procedure.

POLICY

3.1 Alberta Health Care documentation should no longer be forwarded to the pay office with the pay input documentation to start, stop or amend a deduction. Original documentation should be sent directly to Alberta Health Care.

PROCEDURES/INSTRUCTIONS

4.1 Immediately upon submission of the required pay input to the pay office, departments should forward originals of all pertinent Alberta Health Care documentation directly to:

4.2 Departments should continue to retain copies of all documents forwarded to Alberta Health Care.

4.3 Alberta Health Care would also like to remind all departments that, if the department and payroll fields are left blank on incoming documents, the input will reject from their system. Furthermore, officials will be unable to contact the personnel office of origin to obtain the missing information, and, therefore, the document will not be processed by Alberta Health Care.
