SUBJECT: Regional Impact Print Conversion - Year 2000 Compliance

PURPOSE

1.1 The purpose of this directive is to inform all members of the compensation community of the migration of current impact print output to laser print.

1.2 For those products requiring the use of impact printers, i.e. multi-ply forms, upgraded impact printers will be provided.

BACKGROUND

2.1 It had been demonstrated that problems will be occurring as a result of Year 2000 (Y2K) with the print output of Compensation documents (cheques, registers, direct deposit statements, T4s, pro forma) which are currently being directed to the print sites' impact printers.

Public Works and Government Services Canada (PWGSC) has initiated a project that will enable the print output for the Compensation Systems to be Y2K compliant.

PROCEDURES/INSTRUCTIONS

3.1 The format of the Regional Pay Payroll Registers and Gross-to-Net Totals will be changed from pre-printed, multi-ply stock to single ply generic white stock. The size of the forms will be reduced from 15"x11" to 11"x8½". This will provide benefits in cost savings in producing reports and will allow production centres to be one step closer to providing standardized reports. This will improve the time necessary to produce these reports resulting in an improved level of service.

3.2 Conversion of cheques and Direct Deposit Statements for RCMP Pay and Pension will permit the modification of the output. Currently, cheques for RCMP are printed on forms 8½"x10½". This is a non-standard size requiring specialized orders for stock. Converting the forms to 8½"x11" will reduce the cost of stock supplies while at the same time increasing the number of suppliers able to produce the pre-printed cheque forms.

Recipients of the RCMP cheques will be notified of the impending changes to forms and mailing envelopes.

3.3 Converting T4, T4A, T4A-RCA, NR4, NR4-RCA Relevé-1, Relevé-2 to laser print will improve the quality and legibility of the output.

3.4 Due to constraints relative to the size of forms for the Contributor System, conversion of print from impact to laser is not recommended at this time. Upgrades to the impact printers have been ordered to produce a better quality of output while at the same time addressing Y2K compliance issues.

3.5 The following target dates for implementation are being proposed.
