PURPOSE
|
|
1.1 |
The purpose of this directive is to introduce
phase 3 of this new data entry option for the on-line Regional Pay System
(RPS). With the implementation of phase 3 of the on-line pro forma, the
user will retrieve, from the Transaction Data Base (TDB), data from the
most current transactions corresponding to the selection criteria. |

This directive must be read in conjunction with
the Compensation
Directive 2001-016 dated July 23, 2001, entitled "On-line Pro Forma
- Phase 1" and with Compensation
Directive 2001-021 dated October 11, 2001, entitled "On-line Pro Forma
- Phase 2". |

In this text, use of the masculine is generic
and applies to both men and women.

BACKGROUND
|
|
2.1 |
As a result of consultations with our clients,
it was recommended that, in order to improve services, an on-line pro forma
method of input could be created to generate multiple transactions with
few repetitive keystrokes, thereby reducing the time required to create
actions. |
|
|
Phase 1 was implemented on August 14, 2001,
and provided various selection criteria including the option of retrieval
based on the ongoing entitlement deduction code from the Data Base
Master (DBM). Phase 2 was implemented on October 10, 2001, and provided
the linking of various transaction types for the Taken on strength (TOS)
and the Transfer in (TIN). Phase 3 deals with the retrieval of the most
recently processed transactions from the TDB based on the deduction/entitlement
code (DEDENT code) identified, such as maternity "SUP plan top up". Also
included in this phase is a change to the selection criteria for statutory
increases to allow for the display of all records between specified
dates. |

Since Phase 3 adds to the selection criteria
available and does not change the business or the processes identified in
Phase 1 and 2, it has been determined that a job aid is not required for
this phase.

PROCEDURES/INSTRUCTIONS

3.1 |
Phase 3 -- TDB Transaction Retrieval |
|
|
The Pro Forma Selection (PRF) screen will be
expanded to allow Compensation Advisors to retrieve, from the TDB, the most
current transactions in history status (last 60 days) based on the DEDENT
code entered as well as any other selection criterion identified. To use
this option, a transaction with the DEDENT code selected must reside on
the TDB. An additional selection criterion option (To retrieve from the
Transaction Database (TDB): DEDENT Code ...) will appear on the right of
the PRF screen once this phase is in production. This will permit the re-creation
of previously processed transactions by duplicating the information found
on the latest transaction retrieved from the TDB. Compensation Advisors
can use any one or a combination of these criteria to produce the Employee
Selection List (ESL). For example, if the Compensation Advisor chooses to
re-create the maternity "SUP plan top up", they may complete the selection
criterion for account status "T" as well as the entitlement code 148 from
the TDB. This will produce a list of all employees on the paylist who are
temporarily struck off strength (T-SOS) with a transaction on the TDB that
was processed with the entitlement code 148. The Extra Duty Pay and Time
Summary transaction types are excluded from this process. |

Statutory Increase Date |
|
|
The selection criterion for the statutory increase
date will be modified as part of this phase to allow for the retrieval of
accounts using a range of dates. Compensation Advisors will now be required
to enter a "from" and a "to" date if the selection criterion is for statutory
increase dates. For example, a Compensation Advisor can select all individuals
with a statutory increase date between November 1, 2001, and November 30,
2001.
