Executive Assistant to the Director, Exhibitions and Publications
Regular Full Time Position

We are seeking a well-organized and focused individual to provide executive level administrative support to both the Director, Exhibitions & Publications and the Deputy Director, Exhibitions.

This position is responsible for keeping two very busy senior managers organized; including identifying and prioritizing issues that require their involvement, making complex travel arrangements as well as ensuring divisional projects are on track. Responsibilities include scheduling, coordinating and attending meetings, drafting minutes and agendas, researching, preparing correspondence, creating and establishing a secure and efficient filing system, and assisting with the management of a busy Exhibitions and Publications division.

The Executive Assistant also prepares presentations, updates the overall exhibition schedule, coordinates grant applications and monitors the Division’s budget.

The ideal candidate has previous experience working in an executive office, ideally in a museum environment, as well as experience developing and implementing office practices and procedures. The successful candidate will have well developed organizational, interpersonal, verbal and written communication skills. The preferred candidate will possess superior judgment and excellent analytical skills. Well developed word processing, electronic calendaring and messaging skills are also required.
