Copying and Reproduction Services

All copying of archival material is done by our staff. Copying is prohibited if it infringes on copyright, or has a donor restriction, or if it may jeopardize the physical condition of the material. The BC Archives observes current Canadian copyright legislation. Staff will advise you if you are unsure about an order.

Copies are available for personal research or non-commercial use only.

General Note

All orders for copies and reproductions must be made in writing. Telephone orders will not be accepted. We require pre-payment in the form of a cheque or money order, or by VISA, MasterCard, or American Express. Debit cards may be used by on-site clients. At the current time, payment Eurodollar or Eurocheque is not accepted. Please note: credit card information should not be sent by email as our website is not secure.

While most reproduction orders are completed within two to three weeks from when payment is received, the BC Archives makes no guarantee of order completion within a specified time period.

Specific Citation Reference Inquiry/Reproduction Package

Effective 2004: If you require copies of specific records such as the following and are not able to visit on-site to order this material, or arrange for an Independent Research Agent to perform the search for you, your written request will be subject to this special fee package.

Details of the Fee-Package

Submit a written enquiry (fax, email or conventional letter) with a request for a copy of a record from one of the above categories. BC Archives will answer your enquiry and provide up to 30 pages of photocopies/microfilm prints per requested record for an all-inclusive fee of $30. This fee includes all applicable taxes, postage and handling fees, plus up to 30 pages of copies. Each record requested is subject to the all-inclusive fee, (e.g. two wills requested is $60; one will, one probate is $60).

Note: We reserve the right to refuse this service if it is viewed that the request could result in damage of the collections, breach of copyright, or infringement of any donor-applied restrictions.

Photocopies

Original archival material is only to be copied by our staff. On-site photocopy orders are to be submitted on the Photocopy Requisition Form available in the Reference Room and approved by the Duty Archivist at the Reference Desk. Completion dates on photocopy orders may vary.

On-site users are requested to consult staff for permission prior to photocopying reference photographs and finding aids at the photocopier in the Photo Reference Room.

Oversize Photographic Copying Pilot Project

From 2 October 2006 to 6 April 2007, the Archives will run an Oversize Photographic Copying Pilot Project. The Oversize Photographic Copying Pilot Project is a six-month pilot project which will allow researchers at the British Columbia Archives to use their own photographic equipment (either digital or non-digital) to photograph oversize materials from the BC Archives textual records holdings for the purposes of research or private study. Photographs

One size/format: approximately 8 x 10 inch image area, glossy only. Please note, the BC Archives does not supply digital files or electronic media. 35 mm colour slides may be available for selected artworks.

The BC Archives provides high-resolution copies of photographs from scanned images which are printed using dye sublimation (also known as thermal dye diffusion) printing technology. This technology uses heat to vaporise and deposit solid inks onto polyester printing paper. It is the only electronic printing technology currently available that is capable of true rendering of continuous tones, as colour and saturation are controlled by the blending of dyes for each dot. The stability of a dye sublimation print is similar to that of a colour print produced using traditional photographic printing technologies.

On-site visitors can use the self-serve printers to print (either dye sublimations or laser prints) any of the photographic images currently scanned and on our Web Site. This process takes approximately five minutes per print. Self-serve printing must be completed prior to 1630 hours during full service Hours of Operation.

How To Order Still Image Reproductions; Photographs and Artwork

All orders for reproductions must be made in writing using the Image Reproduction Order Form. Telephone orders will not be accepted. Copyright or fragility concerns may prohibit this service. We require pre-payment in the form of a cheque or money order. Staff will advise of total costs. Our current order completion time for photographs is approximately threes weeks from the date pre-payment is received. Every Image Reproduction Order must be accompanied by anApplication For Permission Form, Still Images and Documents; see below.

How to Order Audio/Video Reproductions

All orders for audio recordings or moving images must be made in writing using the Audio/Video Duplication Order Form. Cassette copies of sound recordings and VHS tape copies of film or video originals are available. Copyright or fragility concerns may prohibit this service. Special fees may also apply when transferring from older media. Please consult the Moving Image Index to determine available film or video titles. Every order must be accompanied by an Application for Permission to Use British Columbia Government or British Columbia Archives Film/Video Material. Note: Copies will only be provided if is determined that requested titles are free of restrictions.

Microfilm Printing and Reel Duplications

Self-serve printing from diazo fiche or microfilm is available for on-site users and must be completed prior to 1630 hours during full service Hours of Operation.

Dependent upon copyright concerns and the Freedom of Information and Protection of Privacy Act determinations, duplicate reels of microfilm may be available for purchase. Reels are either 16 mm or 35 mm in their original formats.

Fees For Use

If it is determined by the BC Archives Permissions Officer that a use fee is applicable, your application will be forwarded to our Licensing and Permissions Programme Office. A license agent will contact you to discuss fees pertaining to your application and order.

Commercial/professional clients should contact the licensing office directly for further information regarding obtaining preview copies and applicable license fees.

Application For Permission Form, Still Images and Documents; i.e. textual, photos.
Application For Permission to Use British Columbia Government or British Columbia Archives Film/Video Material; i.e. film, video and audiotapes.
