Senior Secretary


 

 

 

The Canadian Race Relations Foundation was established in the fall of 1996 by the federal government as part of the Redress Agreement with the Japanese Canadian community. Its mandate is to work at the forefront of efforts to combat racism and all forms of racial discrimination in Canada. Governed by a national board of directors, CRRF has charitable registration status and is located in Toronto.

 

The Senior Secretary provides administrative and secretarial support to the Executive Director. The Senior Secretary will manage and co-ordinate the activities of the office of the Executive Director, support Board and Committee work, and act as recording secretary at Board and Committee meetings.

 

Responsibilities:

 

Managing the Office of the Executive Director

 

§          Manage the Executive Director?s agenda, scheduling of appointments, and materials prior to the meetings.

§          Screen incoming phone calls for the Executive Director and inform Director of potentially contentious or sensitive calls.

§          Make travel arrangements and hotel accommodation for the Executive Director and Board members.

§          Draft general correspondence on behalf of the Executive Director.

§          Ensure filing systems and confidential files for the Executive Director are kept current and easily accessible.

§          Provide general support services to the Executive Director, the Chair and the Board of Directors.

§          Prepare travel expense reports as required.

 

 Board & Committees Coordination & Support

 

§          Ensure co-ordination of Board and committee meetings and other meetings of the Chair and Executive Director: confirm participation and logistics. Preparation/assembling of materials for meetings, assist with agenda production, compilation and circulation of meeting materials.

§          Draft minutes of Board and Committee meetings;

§          Develop a list of action items after meetings and follow up on appropriate items in consultation with the Executive Director and Chair of respective Committees;

 

The ideal candidate possesses initiative, excellent judgment as well as the following qualifications:

 

§          A university degree or equivalent experience

§          A minimum of three years of senior administrative assistant experience

§          Excellent oral and written communication skills and interpersonal skills

§          Superior organizational skills

§          Solid computer (Word, Excel, Power Point) and Internet skills

§          French is a definite asset.

§          Knowledge of race relations issues is an asset

§          Experience with a not for profit board or a government agency is an asset
