On-line Booking Tool Release Notes

The
Travel AcXess Voyage portal
and On-line Booking Tool (OBT) launched on November 24th are the
first in a suite of new on-line tools for government travellers.
STSI and Team AcXess will continue to work on future releases that
will refine existing features along with developing new
functionality.
This document lists some of the features and functionality that may
affect the user experience. As refinements are implemented, the list
will be updated.
Government-Negotiated Car Rental
Vendors
Not all car rental rates displayed in
the OBT are Government of Canada preferred vendor rates. Government
of Canada car rental agreement terms and conditions, such as
insurance coverage (including Public Liability and Property Damage),
may not apply to all vendors listed in OBT car rental search
results.
Travellers should consult the Government of Canada Accommodation and
Car Rental Directory to confirm that the vendor in the city they are
selecting is included, and to confirm applicable terms and
conditions. As a temporary measure, all car rental reservations will
also be reviewed by Travel AcXess Voyage; if a traveller has chosen
a non-negotiated vendor, they will be contacted. In this case,
Travel AcXess Voyage will recommend that the traveller may wish to
purchase additional insurance coverage from the non-negotiated
vendor at point-of-sale.
Tango Seat Selection
Air Canadašs Tango fare class does
not make seat selection available through the OBT. While a seat
selection map may appear, any selection made using this map will not
automatically be reflected in the travel itinerary if the fare class
is Air Canadašs Tango fare.
Because the fare class is not evident to the traveller within OBT,
the traveller may wish to ensure that the seat has been assigned. To
ensure seat assignment for a Tango fare class flight, travellers
must enter the request in the Special Request field on the OBTšs
Reservation Confirmation page. Travel AcXess Voyage will action this
special request and ensure that seats are reserved where available.
Seat selections on Air Canada flights under the Tango fare are
subject to a $15.00 (+GST) per segment fee, applied to the cost of
the airline ticket.
System Displays "Airplane" Icon
for Rail Bookings
The icon displayed beside rail
bookings is the same "airplane" icon used for air bookings.
Travellers can use the same fields depicted by the airplane icon for
air and/or rail bookings.
Web Fare Access
All Air Canada and CanJet, and the
majority of WestJet and Jetsgo Web fares are now accessible via the
OBT. However, due to industry constraints, the lowest available Web
fares for all carriers may not always be listed. In addition, due to
the daily schedules to which carriers adhere when loading their
fares into the system, travellers may not see the lowest fare
depending on when they perform their search. Travel AcXess Voyage
continues to work with carriers to mitigate this issue.
TAN validation
Validation of the TAN specified in
the OBT for a booking is performed after the booking has been made
on instant purchase carriers (today, these carriers include WestJet,
CanJet, and Jetsgo). Travel AcXess Voyage will attempt to contact
the traveller and/or travel arranger in the event of an invalid TAN;
otherwise, the booking will be cancelled.
Travellers should ensure that they use the correct TAN when
completing an OBT booking, and that they receive confirmation of the
booking (i.e. receive your itinerary via e-mail or fax) from Travel
AcXess Voyage. Confirmation should occur within one hour of booking
on-line.
If a ticket is cancelled by Travel AcXess Voyage due to an invalid
TAN, an unused credit will ensue. This credit will be added to the
monthly reports you receive for follow-up and management; note these
credits are often non-transferable (depending on airline) and have
expiry dates. Further, a charge to the DRCTC associated with the
invalid TAN will be incurred. A void to the charge will be
attempted, but some carriers do not permit same-day voids.
Therefore, the DRCTC charge and subsequent credit may need to be
reconciled.
