Industry Canada Order Fulfilment: Shipping Instructions

Industry Canada's Order Fulfillment Program has been established to ensure public access to Industry Canada information (see "About Industry Canada's Order Fulfillment Program"). Participation in this program is mandatory for the majority of Industry Canada's publications.

Under the program, there is an Industry Canada-specific section of the PWGSC electronic bookstore at publications.gc.ca that lists publications available for order. To ensure that your publication is included, please register it in the Publishing Database before delivering copies to PWGSC.

Don't forget:

  • to have the printer send a minimum of 2 percent of the quantity (you will need significantly more if you plan on announcing your publication electronically instead of by traditional mass mailing) of your print run to PWGSC so that it is prepared to receive orders from the public

  • to be prepared for CMB to contact you from time to time to replenish stock

  • to inform CMB when it can instruct PWGSC to recycle your obsolete publications to save space and prevent outdated publications from being sent to the public.

Packaging and Labelling Requirements

Note: It is important to advise publishers that non-compliance with the receiving instructions will result in the return of shipments at the publisher’s expense. The designated contractor will refuse deliveries not meeting these shipping requirements.

Packaging

  • Only one (1) Government of Canada Catalogue Number per package
  • No mixed products will be accepted
  • All material must be received in boxed unless otherwise pre-arranged
  • Boxes must be sized appropriately for the components that they will contain and all materials must be packed flat in boxes and packed tightly to prevent shifting, curling and prevent damage of the components
  • The maximum weight of a loaded box is not to exceed thirty-five (35) pounds
  • It is important to advise authors that non-compliance with the receiving instructions will result in the return of shipments at the author’s expense

Registration Form

Each shipment must be accompanied by a completed registration form to be sent back to CMB. This allows for a proper receipt of goods. Download the registration form by right-clicking on the following link:

Labelling

All box ends/rolls must be labeled with the following:

  • Publishing and Depository Services (PDS) purchase order number (if applicable)
  • Receiving address (see below), including client identification - door number 46
  • Product title
  • Government of Canada catalogue number (if applicable) of enclosed material
  • Exact quantity enclosed in box (roll)
  • Roll number of total number of boxes (rolls) in shipment; e.g. Box 1 of 3

Pallets

  • All boxes must be placed on the pallet with the label facing outwards for ease of viewing
  • Boxes must be packed as a solid block. There can be no gaps or hollow areas
  • Outer edges of the box (roll) shall match, or be within, the outer edges of the pallet
  • Pallets with overhanging product will not be accepted
  • Each pallet must not be larger than 48 inches wide by 48 inches long with 4 inches fork openings *
  • Each pallet must not be higher than 54 inches including the pallet *
  • Each pallet must have bottom boards *
  • Each pallet must be banded and/or poly wrapped
  • The maximum weight of a loaded pallet must not exceed 2,000 pounds or have the standard 64 cubic feet per pallet
  • Each pallet must have it’s own pallet packing slip
  • Custom pallet sizes will not be accepted for incoming stocks
  • Out-going stocks for large orders will be shipped using industry standard pallets; no custom-sized pallets will be manufactured

* The designated contractor's warehouse racking will accommodate these dimensions and components, which are common for the industry. Any deviation from these dimensions will prevent us from being able to receive and/or properly store the shipment.

Packing Slips

Each shipment will have multiple packing slips (a master packing slip covering the entire shipment and the individual pallet packing slips).

Note: Standard Bills of Lading alone will not be accepted since they contain insufficient information to allow for proper receipt of goods.

The Master Packing Slip shall contain the following information:

  • Name, address and contact information of responsible party at Industry Canada
  • Product title
  • Government of Canada Catalogue Number of enclosed material
  • Number of cartons (rolls) of each product delivered
  • Number of pieces (pallets, cartons, etc.) in the entire shipment

The Pallet Packing Slip shall contain the following information:

  • PDS Purchase Order number (if applicable)
  • Product title
  • Government of Canada catalogue number (if applicable) of enclosed material
  • Exact quantity of each product packed on the pallet
  • Number of boxes (rolls) of each product packed on the pallet

Please note that the entrance to the loading docks is off the Richardson Side Road and can be accessed from Carling Avenue or March Road. All bays are equipped with dock levellers for ease of loading and unloading.

8:00 a.m. to 5:00 p.m. Eastern Standard Time, Monday to Friday (excluding statutory holidays).
