- In your Word template, you'll see the table below which will help you keep an ongoing log of changes and authors involved in your PIA.
- It is important to use this table because there will likely be several drafts of your Report before its final submission to the Office of the Privacy Commissioner.

Add in a version number of the document. This will help you track your changes. Your first draft version of the Report would be Version 1.0. Any minor changes after your first draft could be labeled 1.1., 1.2 and so on. When a significant number of changes are being made or when your Report has reached a milestone (for example, it is ready for internal review), you could then change your Version to 2.0 or 3.0. Remember to change the footer at the same time.

Indicate the date you are working on the Report. This, along with your version number, will help you keep track of the most up-to-date version.

More than one person will contribute to the report and it is important to indicate who worked on the Report, on what date and in what specific areas. If you have questions later, you can then easily refer back to the specific author.

Identify what section was changed and provide a brief description of why the changes took place.
