E-Mail Management in the Government of Canada

Consultation Draft. November 2002
This guide discusses the life-cycle management of e-mail records, and includes relevant definitions, procedures and roles with respect to managing and protecting e-mail. The guide will evolve to meet changing requirements as they arise. We ask you to review the documents and comment on the content, presentation and relevance to the work of the staff in your institutions who create and manage e-mail. E-Mail Quick Reference Cards(Draft Guidance)

Quick Reference Cards on how to manage e-mail messages are now available as part of the Management of Information Guide for Office Activities. An interdepartmental working group developed this draft e-mail guidance. Various Treasury Board Secretariat policy centres have provided feedback and legal opinion is now being sought.  The questions and answers are generic, a quick "rule of thumb". Institutions may need to modify answers for their own specific situations. As this is an evolving guidance, we are seeking your feedback and additional Q's &A's that are non-institutional specific.

Government On-Line Metadata Working Group
Information Management Resource Centre
The Government On-Line Metadata Working Group advises Treasury Board Secretariat (TBS) on metadata issues and develops guidance for federal departments and agencies. Several sub-groups study particular metadata-related subjects, such as search engines, tools, thesauri, e-learning metadata, and training. Membership includes representatives from over 28 departments. Monthly meetings are chaired by Nancy Brodie, Information Management Division, Chief Information Officer Branch, TBS.

Management of Government Information (MGI) Policy
Treasury Board Secretariat
On April 3, 2002, Treasury Board Ministers approved the MGI Policy that came into effect on May 1, 2003.  Over the coming months, Treasury Board Secretariat will work with departments and agencies to identify specific Information Management (IM) gaps, determine the resources required to bridge them, and target priority areas where collaborative efforts, tools, and guidance are most urgently needed.  This analysis will be used to develop a multi-year, staged approach to the implementation of the MGI policy that builds on the work underway within departments and central agencies.  We will return to TIMS, TBSAC, and TB Ministers with a proposal for phased implementation.
