Records Management Sub-Group
Government On-Line Metadata Working Group
The tasks of the Records Management Sub-group are to produce a Government of Canada Records Management Metadata Set (GoC-RMMS), devise guidelines for applying the GoC-RMMS, identify schemes, controlled vocabularies and other sources for use with the GoC-RMMS, and create an XML version of the GoC-RMMS.  The Sub-group is co-chaired by Don McGee, Library and Archives of Canada and Gregory Renaud, Treasury Board Secretariat. Membership is open to all federal institutions. Monthly meetings are held at the Library and Archives of Canada in downtown Ottawa.

Digital Imaging: Towards International Agreement on Guidance, Guidelines and Best Practices

The closing years of this decade have seen an increasing amount of digitization activity among libraries, archives, museums, and other organizations. Ensuring that digital images can be preserved for future access and use is a crucial issue for libraries and other organizations involved in digitization. This article is adapted from a report on the joint United Kingdom National Preservation Office and Research Libraries Group conference at the University of Warwick, England, September 28 to 30, 1998.

Function-based Records Classification
To support Canadian federal government institutions intending to arrange their records by function, Library and Archives Canada has developed a design methodology for constructing function-based records classification systems. This methodology is called Business Activity Structure Classification System (BASCS - pronounced as basis).

Guidelines For Records Created Under a Public Key Infrastructure Using Encryption And Digital Signatures
To facilitate the development of electronic communication at all levels, the federal government has implemented a Public Key Infrastructure (PKI), which enables documents in electronic form to be encrypted and to carry a digital signature.  The National Archives has prepared these guidelines to explain its position and assist institutions in the management and disposal of records created under a PKI using encryption and digital signatures.

Records and Information Life Cycle Management Guide
IM is an evolving science that is a key underpinning of effective information sharing within institutions, and externally to customers and suppliers, partners, or the public. As part of an ongoing, government-wide initiative, the Library and Archives of Canada has collected a number of resources to provide a foundation for building your own IM resources and competencies. Records Created by Departments and Agencies of the Federal Government
The database contains about 1.2 million descriptions of files created by departments and agencies of the Federal Government of Canada as well as access to over 1,000 digital images on-line about the 1970 Cabinet conclusions. These lists are useful for anyone interested in the federal government records held by the National Archives of Canada. Descriptions are written mainly in the language of the creator, with most descriptions in English.

Retention Guidelines for Common Administrative Records of the Government of Canada

The newly issued Retention Guidelines for Common Administrative Records of the Government of Canada (June 2000) Part 1.4 of the Multi-Institutional Disposition Authorities (MIDA) replaces the General Records Disposal Schedules of the Government of Canada (GRDS) - fourth edition 1986, in its entirety, for all matters concerning the retention of common administrative records.

Information is a valuable resource which Public Works and Government Services Canada (PWGSC) must manage on behalf of all Canadians. The Treasury Board (TB) Policy on the Management of Government Information (MGI) stipulates that information, regardless of medium or format, under the control of the Government of Canada must be effectively and efficiently managed throughout its life cycle. The Policy on MGI also responds to the technical and managerial issues raised by the increased prevalence of electronic information.

Australia
Recordkeeping Metadata Standard for Commonwealth Agencies
National Archives of Australia
This standard describes the metadata that the National Archives of Australia recommends should be captured in the recordkeeping systems used by Commonwealth government agencies. The standard is designed to be used as a reference tool by agency corporate managers, IT personnel and software vendors involved in the design, selection and implementation of electronic recordkeeping and related information management systems. It defines a basic set of 20 metadata elements (eight of which constitute a core set of mandatory metadata) and 65 sub-elements that may be incorporated within such systems, and explains how they should be applied within the Commonwealth sphere.

Working within the context of a range of metadata related initiatives in Australia and elsewhere, the Recordkeeping Metadata Project aims to comprehensively specify and codify recordkeeping metadata in ways that enable it to be fully understood and deployed both within and beyond the records and archives profession.

Recordkeeping Metadata Standard Scoping Paper
Archives New Zealand
Development of a Recordkeeping Metadata Standard is one of the projects in the 2003 / 04 work plan for Archives New Zealand's Government Recordkeeping Group. This scoping paper recommends the scope and proposed approach for the development of a Recordkeeping Metadata Standard. Together with the project plan, this constitutes the first stage in development of the Standard. The scoping paper outlines the purpose of a Recordkeeping Metadata Standard, its background and legislative context, and presents key issues for the scope of the Standard. It also recommends a development process for the Standard, which is described in more detail in the project plan.

2002 Requirements for Electronic Records Management Systems

The Public Record Office updated the functional requirements for electronic records management systems (ERMS) in collaboration with the central government records management community during 2002. The revision takes account of developments in cross-government and international standards since 1999.
